How my sales engine actually runs

The landing page makes a claim: I built an AI sales engine to run my own pipeline. This is the evidence. Every stage below is running today against real self-storage operators. What you get in your own Blueprint session is this same document, rebuilt around how your sales actually works.

The flow

Five automated stages fill and score the pipeline. Everything lands in one system of record. One ranked list comes out the other end, once a day, already drafted.

Five automated stages fill and score the pipeline. One ranked list a day comes out the other end, already drafted. A person decides what actually goes out. Nothing sends itself.

The stages

Each stage below carries the same four things: what happens, what it produces, and what it refuses to do. The refusals matter as much as the work. Every vendor in this market has been sold automation that sprayed.

01

Build the list

The engine adds operators to the pool from three directions: records already in the CRM that were never worked, net-new operators found on the open web, and LinkedIn connections that never had a record. Every candidate passes the same gate before it enters: geography, do-not-contact list, company size band, and a fit-score floor.

Produces
Organizations in the pool, each one already inside the target definition.
Refuses to
Add a record it can't reach. No contact channel, no lead.
02

Enrich the organization

Each organization gets the firmographics that actually decide fit filled in: verified domain, country, size, and the technology already running the business. Free and owned sources are checked first. Paid data is only called on a miss, and every call is metered against a monthly budget.

Produces
A complete organization record instead of a name and a guess.
Refuses to
Invent a record to route around missing data. If a field can't be resolved it's logged as unresolved and left for a later pass. It never gets fabricated.
03

Score the fit

Every organization is scored against a written ICP definition and the score is stored on the record. The score sets priority in every downstream queue: enrichment order, signal-watch order, outreach order. Anything under the floor stays in the pool and never gets worked.

Produces
A ranked pool. The engine always knows what to work next.
Refuses to
Score on a hunch. The ICP is a document, not a feeling, and the score is reproducible.
04

Attach the right person

A qualified organization is worthless without the person who owns the decision. The engine looks for the decision-maker by role, not for whoever's email surfaces first. It checks existing mail history before it spends on paid data, verifies the contact links to the right organization, and re-verifies role and title on active leads on a schedule so a promotion or a departure doesn't go unnoticed.

Produces
A named decision-maker attached to the organization, with a working channel.
Refuses to
Accept a generic inbox. info@ and admin@ are rejected outright and never written as a person's email.
05

Create the lead, automatically

When a scored organization has a named decision-maker and a working channel, the engine promotes it to a live lead on its own. No one queues it by hand. Half-built records get finished automatically: enriched, scored, and either promoted or left in the pool with a reason.

Produces
Live leads appearing in the pipeline without anyone building them.
Refuses to
Promote on a partial record, and never auto-archives. A record that doesn't qualify goes back to the pool, not to the bin.
06

Watch for buying signals

The engine sweeps the highest-priority organizations on a cycle looking for reasons to reach out now rather than someday. It reads industry news and matches stories to organizations already in the pipeline. It checks whether a company is spending on paid advertising without the conversion tracking to measure it. It tracks newsletter engagement. Signals are tiered: a strong one promotes the organization and drafts the touch immediately, weaker ones log to the record and raise its priority.

Produces
Timing. A reason to reach out today, attached to the record, so the opener writes itself.
Refuses to
Promote at volume. Strong-signal promotions are capped per day, so a noisy news week can't flood the queue.
07

Check for a warm door first

Before any cold outreach fires, the engine cross-references the organization against existing partner and vendor relationships to see whether a warm introduction route exists. If one does, it logs the route and the lead skips the cold path entirely and goes straight to the top of the list.

Produces
Warm routes surfaced before a cold touch gets spent.
Refuses to
Go cold on a company someone can introduce you to.
08

Reach out, on the right channel

One ranked list a day. Each pick arrives with the reason to reach out now and a drafted opener already written. The channel is resolved per person rather than defaulting to email: if there's no working email, it routes to LinkedIn instead of guessing. On LinkedIn the sequence is deliberate: a personalized connection request, acceptance confirmed against the actual connections list, then a genuine engagement touch on their content. No cold DM sequence. That was tested and dropped on purpose. It reads like an automated recruiter and burns the credibility the personalized request just bought.

Produces
A short, ranked, pre-drafted daily list. Sales work that takes minutes to action instead of hours to prepare.
Refuses to
Send anything. Every touch is a draft. A person reads it and fires it. There is no auto-send anywhere in the engine.

Referred and warm leads skip straight to the top of the list. Cold outreach runs lean and is judged on engagement, not just closes. That's the honest read, and it's why stage 07 exists before stage 08.

This is the engine. Yours will look different.

What's above is how my pipeline runs, built around how I sell into self-storage operators. Your process isn't mine. The Blueprint session maps how your sales actually runs today and hands you the version of this diagram that fits it: what to fix, what to automate, in what order, on what stack. The roadmap is yours whether or not you work with us.
